Administration information for volunteers

As there is limited administrative support at the legal service, it is anticipated that a component of any work will involve administration. There is scope for people with an interest in this area to develop skills.

The skills involved include:

•practical skills in office management
•bookkeeping
•filing
•typing/word processing skills
•reception/communication skills.

Duties Statement - Unpaid Administrative worker:

The tasks involved in providing a quality administrative service vary, and require differing skills and experience such as:

•bookkeeping knowledge
•computer skills
•typing, or a willingness to learn
•communication skills
•ability to prioritise workload

The duties that may be requested of an unpaid administrative include:

  • Assist Co-ordinator in maintenance of office bookkeeping procedures, utilising manual and computerised methods
  • Keep up to date with Workcover, Superannuation, and Taxation requirements
  • Assist with banking procedures
  • Assist with payment of accounts
  • Monitoring petty cash expenditure where requested
  • Assist in the preparation of unpaid worker rosters for both day and night time services
  • Check that office supplies are in order (ie sufficient photocopying paper, stationery, stamps etc)
  • Assist in the preparation of agendas, reports, correspondence etc for Committee of Management meetings
  • Minute taking at meetings
  • Attend the Federation of Community Legal Centre's Administrators Working Group
  • Typing of letters and legal documents
  • Archiving files
  • Closing client files
  • Filing
  • Photocopying and collating
